Office Assistant: 

Part-Time

Hours: Monday – Friday, 9:00 AM - 2:00 PM 

Job Description:

We are a locally owned, high-volume flooring business known for superior customer service and have been in business for over 60 years. We are seeking a part-time, detail-oriented Office Assistant to support our Contract Sales staff with daily administrative operations. This role is perfect for someone who is organized, able to handle multiple tasks efficiently, and enjoys working in a fast-paced environment.

Key Responsibilities:

• Assist Contract Sales staff with daily administrative tasks

• Prepare and process purchase orders and supplier/vendor invoices

• Enter subcontractor weekly pay by project

• Prepare invoices, follow up on past-due accounts, and assist with monthly billing

• Communicate professionally with customers, vendors, and subcontractors

• Maintain organized files and manage general office supplies and cleanliness

• Generate bi-weekly project sales reports for each sales team member, ensuring billing and invoicing are current and accurate

Qualifications:

• Reliable, professional, and detail-oriented

• Self-motivated and able to manage workload without daily oversight

• Strong organizational and communication skills

• Proficient in data entry and computer use (Microsoft Excel preferred)

• Experience managing and using a multi-line phone system

• Quick learner (training on company software provided)

• Prior billing experience is helpful but not required

• Ability to handle multiple tasks in a fast-paced environment

• Strong problem-solving skills and proactive approach
